Corporate Clothing Reorders | Staff Top-Up Guide

Keep corporate wear reorders consistent through product records, artwork control and planned alternatives.

Build a uniform record that survives staff changes

Store the supplier product code, garment colour, fit, approved branding file, placement and previous order reference. Add a simple photograph of the approved finished item if available. This gives a new purchasing colleague something more reliable than a description such as our usual blue shirt.

Ask about current stock before promising a match

A previous order does not guarantee that every size, colour or style remains available. Request a fresh check for the actual top-up quantities. If the exact garment is no longer offered, compare the proposed replacement against the features that matter to your team. Approve any difference deliberately instead of treating the catalogue name as proof of equivalence.

Plan small orders as their own projects

Setup, decoration and delivery can have a different effect on a small batch than on the original roll-out. Ask for an itemised top-up quotation and consider grouping new-starter requirements where practical. Use the same approval record, even for a few pieces. Delivery to Port Elizabeth or Gqeberha should be confirmed for the new order rather than copied from an earlier schedule.

Keep artwork version control simple

Save the approved production artwork separately from exploratory design files. Give it a useful version name and record the garment colours on which it was approved. If a logo changes, identify whether existing staff clothing will be replaced immediately or whether the next order begins a planned transition. Do not assume the supplier can infer the current version from the latest email attachment. State the previous order reference and attach the intended artwork whenever a reorder is requested.

Review the programme before a large repeat

A repeat order is a useful moment to check whether the original choice still suits the team. Changes in job roles, available sizes or laundering arrangements may justify a different garment. Keep feedback specific and compare the replacement as carefully as the first selection. If the uniform needs to change, document the transition so new and existing staff understand the plan. Avoid creating several near-identical undocumented versions that make the following purchase harder to manage.
