Specify the item rather than a loose category
A request for branded shirts leaves too many important details open. Add the product code or a shortlist, required colour, preferred fit and size quantities. If you are open to alternatives, state which properties matter: fabric, pockets, sleeve length, appearance or budget. This lets the supplier propose a relevant substitute rather than a superficially similar item.
Make the branding brief measurable
Attach approved artwork and give the required placement, approximate finished width and number of branding positions. State whether individual names or department labels are needed. Ask the quote to identify the proposed method and setup charges. A logo image in an email is a useful starting point, but it is not by itself a complete production approval.
Include the handover requirements
Provide the delivery address in Port Elizabeth or Gqeberha, a receiving contact, access restrictions and the date the garments need to be distributed. Ask for stock and production confirmation for the final quantities. Keep VAT, branding, packing and delivery visible in the proposal so purchasing can compare a complete cost. Approval should identify the final specification, not just the quote total.
State what a valid alternative must preserve
If the first-choice garment is unavailable, list the features that are essential and those that are flexible. Fabric type, sleeve length, pocket layout, colour family, fit and size range may all affect whether a substitute is useful. Ask for alternative references rather than accepting a vague equivalent description. Review a proposed replacement against the role and branding brief, including any change to decoration cost. This gives procurement a defensible comparison and avoids approving a cheaper item that does not perform the required job.
Make the commercial comparison complete
Ask each proposal to show the same quantity basis and tax treatment. Separate once-off setup from per-item charges and identify any minimums that affect a later repeat order. Confirm what is included in artwork preparation and whether packaging is standard or optional. The delivery destination should match the actual receiving address, not just the city name. Record the quote date and validity supplied by the seller, and request reconfirmation if the specification or approval date changes.
